  • ASIC is seeking a full-time Executive Assistant, in their Registry and Intelligence (R&I) team
  • Permanent position based in Sydney or Melbourne, with flexible hybrid working options
  • Salary starting from $94,198 (plus 15.4% superannuation) depending on experience

The team

Registry and Intelligence (R&I) is comprised of the following teams – Registry Operations, Intelligence (which includes Regulatory Insights & Assessment, Strategic Planning & Intelligence, Business Innovation & Improvement, and Information & Knowledge Resource Centre) and International. These teams drive an intelligence led regulatory approach using data informed insights and intelligence. The teams do this by providing efficient and accessible business registers, assessing reports lodged with ASIC, managing information and data flowing into and created by ASIC and leading our international engagement work. The teams also innovate and identify opportunities to leverage data and insights to ensure ASIC makes better regulatory decisions. This group is responsible for ASIC's physical libraries and archives, including SharePoint and digital subscriptions, as well as for ASIC's knowledge management function.

 

The role

  • Working effectively as part of the team in the Registry & Intelligence Group, as an EA supporting two Senior Executives, ensuring and assisting (along with other team members) the smooth operation of the team.
  • Providing a range of services to the Registry & Intelligence Group including co-ordinating the on the ground support for travelling R&I Group members, including:
    • Printing out diary for the day if required
    • Preparing papers either digital or paper and other supporting material as directed by the relevant Senior Executive
    • Email management as required, screening calls, and prioritising meetings
  • Undertake work-related requests from the Executives you support.
  • Providing a range of administrative support services including preparing presentations, correspondence, filing and records management, mail, maintenance of registers and databases where they exist, photocopying and creating and maintaining mail lists. 
  • Arranging and coordinating meetings with stakeholders including room & equipment bookings, agenda preparation, and preparing and sending meeting documentation.
  • As requested, coordinating travel (domestic and international) and accommodation, preparing corporate card reconciliations, basic procurement, and expenditure administration.
  • Undertaking coordination of stakeholder meetings for the Senior Executives, liaising with the wider ASIC EAs and managers to ensure time frames are met.
  • Participating in meetings, taking minutes, disseminating meeting documents and drafting minutes and monitoring action items.
  • Providing wider administrative support to the wider R&I Group as directed.
  • Working with the Executives to support R&I Group members adapt to IT changes or different ways of working. 
  • Participating in the executive assistant network.


About you

  • Relevant vocational qualification in office or business management.
  • Experience managing the diary and administrative requirements of senior executives in a government agency, financial services, or private section organisation.
  • Ability to work autonomously, manage priorities, and allocate resources to achieve outcomes.
  • Experience preparing presentations using PowerPoint.
  • Experience undertaking research, reviewing, and editing documents, to assist with the preparation of responses.
  • Experience working with Microsoft products including Outlook, word, excel and PowerPoint.
  • Experience working with SharePoint or similar content management database.
  • Ability to resolve problems, demonstrating analytical and decision-making capability.
  • Ability to build and maintain working relationships effectively liaising with the EA network and ASIC staff in the Group.
